Business challenges

Being located in Silicon Valley, technology is a focus of many of the patients who work with BlueWave Medicine. Therefore, Dr. Jacobs knew that any patient portal experience had to meet the sophisticated needs of his unique concierge medicine practice. Additionally, with so many team members assisting in optimizing patient results, streamlining communication was also essential.

BlueWave uses Elation as its EMR, but it did not offer the user interface expected by its sophisticated clients or many of the functions needed by a whole-person practice. But like most EMRs Elation did not offer a comprehensive health data collection, visualization, and automation for practitioners to see the whole picture of the patient’s health.

Dr. Jacobs also needed a way to integrate devices into the EMR program, such as Oura and Dexcom, to help optimize the lifestyle factors driving health outcomes. Information from the devices needed to seamlessly integrate with advanced diagnostic offerings such as conventional blood work, biological age testing [Trudiagnostic, Lifelink], and body composition testing.

Finally, since BlueWave offers a concierge service, secure messaging and coaching features were essential, as the team regularly engages with clients. Coaching involves evaluating the insights from sensors and wearables, as well as diagnostic results to provide in-depth assessment and progress reports.

All of this functionality and access to client data needed to be presented visually and cohesively to help the BlueWave team effectively monitor and evaluate the success of their clients.

        Here’s an overview of these updates and how they can make your practice workflows more efficient.

        A New Level of Transparency in Data Processing

        With the new updates to our concierge transcription process, users can now easily track the status of their uploaded lab data, ensuring full visibility into where their files are in the transcription process.

        To start, after logging into your practitioner account, uploading a PDF is as simple as clicking the Concierge button in the top-right corner. Once a file is selected, you’ll be prompted to assign it to the correct client by typing their name. Afterward, just click Upload—and you’re done! From here, our team transcribes the lab data and adds it to the client’s record.

        But what if you need to track the status of a file after uploading it? With our new features, you can now check where your uploaded files are in the process. Simply navigate to the Files page for the specific client, and you’ll see the status of each file, whether it’s in progress or completed. Once a file has been processed, it automatically moves from the Concierge Service folder to the Medical Records folder.

        One of the most exciting new features is the ability to link directly between lab results and their source PDF files. This provides an added layer of clarity, allowing you to see exactly where the data came from. For example, if a client had a blood draw on a specific date, you can now click a small paper icon next to the lab results to view the original PDF source file. This makes it easier than ever to cross-reference results with the original lab documentation.

        Similarly, if you’re viewing a file in the Files page, you can jump straight to the related lab results by clicking View Lab Results—giving you an instant, pre-filtered view of the specific data point.

        Organizational Reporting: A Broader View of Concierge Activity

        Our new Signals Report offers a system-wide view of all concierge uploads. Instead of manually checking individual client records, practitioners can access a dashboard that shows concierge activity across the entire organization. You’ll be able to see how many files have been uploaded, which clients are using the concierge service most frequently, and which users have uploaded the most data.

        The report also provides detailed comments from the concierge process. If any issues arise, such as an incorrect file type, this section will include notes, giving you full transparency on the status of all uploads. Errors or incomplete files will be flagged here, helping you stay on top of the data flow.
